DESIGN & PRINTING GUIDELINES

1. All print materials, distributed to the public or full student body, must be submitted to Public Relations Department for approval and printing. This includes publications, newsletters, flyers, advertisements, recruitment material, brochures, mail-outs, mass emails, etc.

2. The use of the Albany Technical College logo must be approved by Public Relations Department. Please report use of logo by outside agencies or persons to PR department to ensure logo is not misused.

3. All requests for design/printing must be submitted to the PR department 15* business days before distribution date.

4. Request must be electronically submitted, using Design/Printing Request Form on Caesar.

5. Continue to order business cards and NCR forms by using current printing/graphic order form on Caesar. Obtain envelopes and letterhead through bookstore. Quantities of more than 3,500 must be requested two weeks in advance.

*Turn around time depends on the scope of design and workload demands.




WEB UPDATE GUIDELINES

1. All web updates or changes are to be submitted to Public Relations Department. Some changes and/or updates may require a Director’s or VP approval.


2. Website changes generally take between 3-7 business days to complete after we have received them, this assumes that you have sent all the information that is needed and there is no need for additional information. Complexity of update can affect this time estimate.*

3. Request must be electronically submitted, using Design/Printing Request Form on Caesar. Please add your name to the file name when you save your completed web request form and email as an attachment. A confirmation of receipt of your request will be accompanied by a time estimate on when your update or change will be completed. All this information will be included on the submitted request form.*

4. Large copy changes and new pages:

If you are completely rewriting a page or adding a new page, e-mail the content as a Word file attachment with your Web Request Form. Do not include photographs in the Word file but as separate attachments if if you have photographs that you would like be included. Be sure to indicate the URL (address) of the page you are replacing or changing, if applicable, or the URL you want the new page to be linked from.
